FREE TRIAL POLICY
At Alpha One Coaching College, we understand the importance of choosing the right tutoring centre for your child's educational needs. To assist with this decision-making process, we offer free trial lessons for our courses. We believe that these trials allow prospective students and parents to experience our teaching methods and course content before making a commitment.
1. Free Trial Eligibility:
1.1. Students are eligible for one free trial lesson for our WEMT, Foundations, Intensive English, High School Maths, and High School English courses if they have not had a free trial for that course before.
1.2. For our OC Trial Test and Selective Trial Test courses, students are eligible for two free trial lessons if they have not had a free trial for that course before.
1.3. Free trial lessons are offered to students only once per course, regardless of the course year level. For instance, a Year 5 student who redeemed two free trial classes for the STTC course (STTC5) will not be eligible for another free trial for the Year 6 STTC course (STTC6) in the future, as it is considered the same course.
2. Free Trial Redemption:
2.1. Free trial lessons are redeemable only once per course at Alpha One Coaching College.
2.2. Free trials cannot be redeemed for the same course at different Alpha One centres. Once a free trial lesson has been attended for a specific course, the student is not eligible for another free trial for the same course, regardless of the centre.
3. Invoicing and Commitment:
3.1. We send out invoices only after the free trial lessons are attended. This policy is in place to ensure that there is no pressure on the parents to commit to the course beforehand.
3.2. Parents are free to cancel after the free trials if they find that the course is not a suitable fit for their child.
PAYMENT PLAN POLICY
At Alpha One Coaching College, we are committed to providing a range of flexible payment options to accommodate the varying needs of our students and their families. We understand that upfront payments for the full term may not be feasible for everyone. With this in mind, we offer the following payment plan options:
1. Payment Plan Eligibility:
1.1. All students enrolled in our courses are eligible for a payment plan.
1.2. Each invoice can have its own separate payment plan if needed.
2. Payment Plan Options:
For Students Enrolled in a Single Course:
2.1. Payments can be divided into up to 2 instalments.
2.2. The final payment for the instalment plan is due by the midpoint of the term, which is Week 5.
2.3. For new students who receive the invoice during the term, the deadline for the final payment is extended to the end of the term, which is Week 10.
For Students Enrolled in Multiple Courses:
2.4. Payments can be divided into up to 4 instalments.
2.5. The final instalment payment is due by the midpoint of the term, which is Week 5.
2.6. For new students who receive the invoice during the term, the deadline for the final payment is extended to the end of the term, which is Week 10.
3. Payment Plan Process:
3.1. To set up a payment plan, please contact our finance team at accounts@alphaonecollege.com.au and our team will be happy to organise a payment plan for you
3.2. Students may not be able to enrol in future terms if the fees for past terms are still outstanding.
4. Payment Methods:
4.1. Payments can be made through various methods such as bank transfer, cash or EFTPOS.
5. Changes to Payment Plan:
5.1. Any changes to the payment plan must be requested in writing and emailed to our finance team at accounts@alphaonecollege.com.au as soon as possible.
REFUND POLICY
At Alpha One Coaching College, we believe that education is a commitment based on trust and understanding. We acknowledge that there can be unexpected circumstances that might lead parents to reconsider their child's enrollment with us. As such, we have a flexible refund policy in place, as described below.
1. Refund Eligibility:
1.1. Parents are free to cancel at any time if they are no longer able to or wish to continue their classes at Alpha One. We understand that circumstances change, and we strive to be as accommodating as possible.
1.2. Refunds apply to any lessons remaining in the term that the child is currently enrolled in.
1.3. Refunds cannot be applied for lessons already attended or have passed but were not attended. The refund amount will be based solely on the number of lessons remaining in the term.
2. Refund Process:
2.1. To inquire about refunds, please contact your branch via email. Our team is available to guide you through the process and answer any questions you might have.
2.2. Upon receipt and review of the request, the refund amount will be calculated based on the remaining lessons for the term.
2.3. All refunds will be processed within 14 business days from the date of approval.
3. Refund Methods:
3.1. Refund amounts can be paid back directly to the parent’s bank account.
3.2. Alternatively, the refund amount can be kept as credit towards other courses at Alpha One Coaching College or payment for future terms.
MAKE-UP POLICY
At Alpha One Coaching College, we understand the unpredictable nature of life and the fact that students may sometimes miss their scheduled classes due to both unforeseen circumstances and other planned commitments. In response to this, we offer a flexible make-up policy to ensure that our students don't miss out on their learning opportunities. Below are the details of our policy:
1. Rescheduling Lessons:
1.1. If a student cannot attend a scheduled lesson, they can reschedule it to any other available class timing within our academic week. Please note that our academic week starts on Tuesday and ends on Monday.
1.2. If the student cannot attend an in-person lesson, we can arrange an online make-up lesson.
1.3. If you would like to schedule a makeup class due to a planned event, please contact us around a week prior to the missed lesson.
2. Lesson Material Collection:
2.1. If a student cannot attend a lesson but would like a copy of the lesson materials, they can collect a copy in-person at their Alpha One Centre. Please note that fees for that academic week will be incurred if lesson materials are collected.
3. Refunds and Credits:
3.1. Refunds or credits are only offered under two circumstances:
3.1.1. Illness: If a student is unable to attend a class due to illness, a refund or credit will be granted upon providing a valid medical certificate.
3.1.2. Travel: If a student is unable to attend classes due to extended travel, a refund or credit can be organised upon providing proof of travel (e.g., flight tickets, accommodation bookings etc.).
3.2. If a refund or credit is processed, students are unable to collect a copy of the lesson materials.
3.3. If students want to collect a copy of the missed lesson materials, a refund or credit will not be processed.
Extended Absence Policy
Given the limited number of spots available in each class and our commitment to small group classes, we are unable to hold spots for students who wish to unenroll for 4 or more weeks within a 10-week term.
Below we outline alternatives for students who wish to continue their enrolment during weeks of absence and remain engaged in the coursework.
1. Policy Overview
1.1. If a student wishes to cancel classes for four or more weeks during a 10-week term, their spot in the small group class cannot be held.
1.2. This policy applies to any reason, including illness, personal reasons, or travel.
1.3. Parents or guardians are encouraged to notify the administration as early as possible before the start of the absence to arrange suitable alternatives.
2. Education Continuity Options
2.1. Online Makeup Classes:
If your child is unable to attend face-to-face classes, we offer online classes (subject to availability) that students can attend from any location. This ensures they continue to receive instruction and stay up to date with the course content.
2.1.1. Students need a stable internet connection and a device to participate in online classes.
2.1.2. Enrolment in online classes must be confirmed at least one week before the planned absence begins.
2.2. Provision of Materials:
For students who cannot participate in online sessions but wish to stay enrolled during the period of absence, we will provide all necessary study materials for the duration of their absence.
2.2.1. Study materials include class booklets, worked solutions, and any additional materials that we can offer.
2.2.2. Materials can be collected in person, or arrangements can be made for digital exams for our OCTT & STTC courses.
3. Re-enrolment Considerations
3.1. If you have cancelled classes for 4 or more weeks during the extended absence and not opted to stay enrolled via online makeup classes or by receiving the course materials, upon returning, students wishing to rejoin classes must re-enrol. Placement will depend on the availability of spots in appropriate classes.
3.2. While we cannot guarantee the same class or teacher upon their return, we will strive to meet the student’s needs and preferences as closely as possible.
